Coeus was engaged to help the client assess the hosting market for suitable vendors and decide on a strategic partner. The timeline was short (3 months) for selecting and beginning migration from owned facilities. Internal procurement processes for this type of requirement were not in place, due to previous delivery all being in house.
Coeus gathered requirements for partner vendors and ran a clear and fair vendor assessment and selection process, in order to select the most appropriate supplier based on the priorities of the business by:
- Assessing current and future data hosting and business priorities
- Reviewing the market for suitable suppliers and quickly qualifying in or out shortlisted vendors
- Developing RFP documentation to ensure completeness of capability and response of vendors
- Supporting the assessment and selection process through quantitative scoring matrix tailored to the customer needs
Coeus provided the Hosting requirements summary; an RFI and market assessment to determine vendor long list. We then down selected to a Vendor short listing based on quick qualification matrix.
Following this we helped provide vendor interview templates and a company presentation; full RFP documentation and response guidance and an assessment matrix for responses (including Financial and Non-financial criteria).
Finally, we wrote up the selection summary and recommendation.
The main benefit was a technically accurate, fully documented, fair selection process with a clear set of requirements. We completed a financial assessment of value of contract to compare and confirm value for money and provided arbitration for the scoring based on priorities for the business.
We helped the client select a strategic partner within timescales required and enabled transition process to begin.
