Client challenge

Coeus was engaged to assist in creating a vision and strategy for hosting across the whole of the client company (100+ Sites and 7,500 servers). This requirement was set against the following:

  • The current estate was largely over 5 years old and spread across locations of varying data centre tier quality
  • The client had a lack of transparency in terms of data – including volumes and costs in the application and server estate
  • The client did not have a clear vision of the future hosting landscape or how this could be achieved
  • The client was also unsure with regard to the value of cloud technologies and how these should be leveraged
  • The client was also in the middle of a major divestment of the business – splitting the company into two parts

The above factors complicated all decision making relating to hosting changes, leading to elongated decision making processes that often resulted in sub-optimal outcomes.


Conduct a full current state review to fully understand business context and infrastructure landscape, develop a set of strategic aims, and assess all options and financials to drive recommendation to meet future needs of the business:

  • Understand current business challenges with respect to IT and hosting landscape
  • Understand legislative and performance constraints driving hosting decisions
  • Assessment of the current state hosting in the market place and against current best practice for the sector
  • Assess hosting market place for current offerings including capabilities of current vendor
  • Determine future vision for hosting (consolidation and modernisation of the estate)
  • Run bottom up modelling of the entire server and location landscape including cost modelling
  • Conduct risk appraisal against benchmarks of not acting on aging estate
  • Recommend course of action including high level investment case for migration and
  • Provide transformation programme investment case and roadmap to achieve vision over 5 years


The team delivered a fully formed hosting vision and strategy analysis to IT and Business audiences that included:

  • Business requirement summary and assessment of current state against this
  • Full summary of current hosting landscape including volumes and locations
  • Hosting vision covering target locations and platforms (Cloud, Private Cloud, SaaS etc.)
  • Full OPEX cost model of current and future state
  • Risk assessment based on do nothing case using benchmark values
  • Justification for recommended action using 2-stage investment modelling
  • Investment modelling showing estimated programme cost over 5 years
  • Programme plan and governance model, driving action in priority locations and business units
  • Financial and non-financial benefit map to IT and to the business of transition to new platforms and from current locations


The deliverables formed an entire programme definition, and case for investment, that allowed the client to proceed with long terms strategic clarity:

  • Fully documented data landscape where none previously existed from multiple sources that could be reused across multiple programmes and by multiple teams
  • Multiple cost models to assist in rapidly developing full business case, which projected operational and capital reductions in spend
  • Clearly articulated strategic requirements and vision relating to business need
  • Robust set of actionable recommendations, timeline, and cost
  • Well defined programme and organisation model
